    How to Choose an Accounting Firm in Sweden

    Every firm’s website says the same three things: personal, digital, proactive. These nine questions cut through it — including the ones firms hope you won’t ask.

    Choose on five things: a genuinely fixed fee with a written scope, a named accountant, mainstream software you can export from, service in your language, and painless exit terms. Price differences between good firms are small; the cost of a wrong fit is not.

    Is the fee fixed — and fixed against what?

    Get the monthly price in writing together with the volume assumptions behind it. A real fixed fee names what happens when volume grows (a new band), not a right to re-bill freely.

    Exactly which filings are included?

    Bookkeeping, moms, arbetsgivardeklaration, årsredovisning, inkomstdeklaration 2, K10. Ask for the list in the quote. Every item missing from it is a future invoice.

    Who, by name, does my books?

    A named accountant who knows your business beats a rotating pool. Ask who covers holidays and sickness — continuity is what you are actually buying.

    What software will we work in?

    Fortnox or another mainstream system keeps you portable and gives you live visibility. Proprietary systems without export are lock-in dressed as convenience.

    Do questions cost money?

    The whole value of an accountant is being able to ask before you act. If every call starts an hourly meter, you will stop asking — and pay for it in mistakes.

    Can you serve me in my language?

    Reports, contracts, and conversations in the language your company actually runs in. For international founders this is the difference between understanding your business and signing blind.

    What is your startup experience?

    Share issues, investor reporting, K10 optimization, stock options. A firm that mostly serves shops and restaurants can be excellent — and still miss what a funded startup needs.

    What happens if I want to leave?

    Notice period, export format, handover cost. Fair answers exist (one–three months, SIE files, modest or no fee). Evasive answers are the answer.

    What do you need from me each month?

    A good firm gives you a short, fixed monthly routine (receipts in, questions answered). If they cannot describe your side of the process, the process does not exist yet.

    When should a founder hire an accounting firm?

    For an AB: from day one — bookkeeping obligations under Bokföringslagen start at registration, and cleanup costs more than doing it right. For an enskild firma with a handful of transactions, DIY is defensible until volume or moms registration makes errors expensive.

    Does the firm need to be authorized (auktoriserad)?

    Sweden has voluntary professional accreditations — Auktoriserad Redovisningskonsult via FAR or Srf konsulterna — that signal tested competence and quality control. They are a meaningful plus, not a legal requirement for bookkeeping. For statutory audit (only required for larger companies), you need a separate authorized auditor (revisor) — note that your bookkeeper and auditor must be independent of each other.

    Can I switch accounting firms easily?

    Yes. Your records are your company’s property. A professional firm exports SIE files and documentation on request without drama. Before signing anywhere, ask two questions: what is the notice period, and what does handover cost? Firms confident in their service keep both answers small.

    Should my accountant work in the same software I use?

    Yes — shared access to one system (Fortnox is the Swedish default) means you see your numbers live and nothing is re-entered by hand. Be cautious with firms that insist on proprietary systems you cannot export from: it is a soft lock-in.

    What is a red flag in a first meeting with an accounting firm?

    Vague answers about what the fee includes, hourly billing for questions, no named person responsible for your account, reluctance to talk about switching or exports, and promises that everything is simple before they have seen your numbers. Clarity in the sales meeting predicts clarity in March.
